MEMBERSHIP CHAIRMAN

Duties:

1. Appoint a committee to assist you.

2. Coordinate with HENA office to ensure that all members listed in the Roster are in good standing.

3. Ensure that the membership brochure is updated and readily available to be used by HENA office as a mailing piece to inquiries.

4. Coordinate a new member drive at least once per year, preferably between August and January at member renewal time.

5. Send out member renewal letters by October 15th to coincide with members budget planning.

6. Work closely with Nominating Committee to ensure that all nominees of the Board have been members in good standing for 2 years.

7. Work closely with Nominating Committee to ensure that all nominees for officers have been Board Members in good standing for 2 years.

8. Ensure that membership brochures/applications are available at each registration desk of the monthly meetings, as well as all HENA-sponsored functions.

9. Have an updated membership directory at registration desk for all meetings and HENA-sponsored events to ensure that Finance Committee has information needed for registration and collection.

10. Promote new members.

11. Ensure that all members receive dues notices.

12. Make sure all dues are fully paid by February 1-NO EXCEPTIONS.  Reminders prior to this date should be sent.  After this date, meeting attendees badges will say GUEST and their entrance fee will be more than the members' fee.

13. Write a personal note to each new member welcoming them to the organization and reminding them of upcoming events and opportunities to become involved.


CHARITY CHAIRMAN

Duties:

1.  Appoint a committee to assist you with Charity programs.

2.  Coordinate efforts to benefit the HENA adopted Charity.

3.  Write an article for the website as needed to promote Charity events.

4.  Have a "blurb" included with meeting notices regarding Charity events.

5.  Work with Membership Chairman and Publicity Chairman in creating local awareness of the HENA organization for the community.

6.  Prepare immediately a one-year calendar of events for Charity fund-raisers and "good will events".

7.  Build challenges between "like" companies providing time or money to HENA's charity.

8.  Encourage the designated charity to submit a story / column for the HENA website on a quarterly basis.

9.  Encourage the designated charity to inform our membership where HENA's money is going and the good it is doing.

10.  Work closely with the Membership Chairman to be sure that new members know of this effort and how they can participate.

11.  Provide monthly reports to the HENA Board of Directors.


HOLIDAY PARTY CHAIRMAN

Duties:

1.  Appoint a committee and designate tasks immediately.

2.  Obtain sponsors for the band, decorations, signs, etc. Admissions fund food and beverage costs only.  No funds are allocated in the budget for additional items.

3.  Provide monthly reports to the HENA Board of Directors.

4.  Coordinate with Publicity Chairman for pictures of the Charity Auction to appear in local newspapers.

5.  Coordinate with the Charity Chairman for proper setup and signage for the Silent Auction.

6.  Coordinate Printing budget and sponsorship with Treasurer.

7.  Provide a P & L of the Holiday Party at the January HENA Board meeting.


NOMINATING COMMITTEE CHAIRMAN

Duties:

1.  Investigate and verify with the Membership Chairman that all proposed board members have been members in good standing of HENA for a minimum of two years.

2.  Investigate and verify with the Membership Chairman that all proposed officers have been board members in good standing for a minimum of two years.

3.  Present proposed officers with job descriptions not only of their office but of all offices that they MAY SERVE in the future.

4.  Ensure that no member of the nominating committee will be eligible for office.

5.  Ensure that on or before June 5 of each year the general membership be advised that they may submit candidates for the consideration of the nominating committee.

6.  On or before July 1 of each year, the Nominating Committee shall publish on the website or otherwise, its recommendations for new Officers and Board members.

7.  After such publication and on or before July 20, any nominations from the regular members shall be proposed in writing with a seconder, endorsed by 5 other regular members and sent to the Chairman of the Nominating Committee.  Such nominations shall present qualification, background and evidence of availability and willingness to serve on the part of the nominee to serve if elected.

8.  Call Emergency nominating meetings to fill board and/or officer vacancies when necessary.  Numbers 1, 2, 3 and 4 will apply.


PUBLICITY  CHAIRMAN

Duties:

1.  Appoint a committee to assist you with coordination of the website input and content.  All articles and pictures are due by the 20th of the month for the following month.

2.  Coordinate with the Christmas Party and Charity Chairman to ensure that pictures of the Charity are taken and published of the Officers/Board as well as the Charity.

3.  Make sure any charges for pictures are known well in advance so that the Chairman can arrange for sponsorships.

4.  Coordinate with Convention Chairman so pictures are taken at Convention and published in local publications and on the website.  Again be sure all costs are covered by sponsorships. 

5.  Coordinate publicity regarding the Convention speaker or program with the Education Committee.

6.  Coordinate with Supplier Showcase Chairman regarding publicity and photography.

7.  Coordinate with Site Selection and Education Committee regarding the monthly meetings and any opportunity for publicity. Give special emphasis during Tourism Week.

8.  Work closely with the Charity Committee to emphasize HENA's charitable endeavors and good works locally. 


SCHOLARSHIP CHAIRMAN

Duties:

1.  Appoint a committee to assist you with your duties.

2.  Coordinate with UNO, Delgado, Tour & Travel Academy and any High School representatives to establish guidelines and procedures for scholarship applicants, including the most advantageous time for award presentations.

3.  Send printed information to school representatives for distribution and posting for students. Include all criteria and deadlines for applications.

4.  Select a committee of 3, including yourself, to make selection of scholarship awards as set forth in the budget.

5.  Advise the Board of your decision, date the awards will be given, and the qualifications of those chosen for the awards.

6.  Advise students and administrators of the choices for scholarships.

7.  Coordinate with Publicity Chair.

8.  Coordinate with the HENA office regarding awards and checks, making sure all are prepared and correct for presentation.


SITE SELECTION CHAIRMAN

Duties:

1.  Select all sites for the monthly meetings for HENA on the second Tuesday of each month avoiding industry conflicts wherever possible. Schedule board meeting at same location prior to regular meeting. Advise early the site for Tourism Week's function.

2.  If an educational seminar is scheduled then select site for the monthly HENA Board meetings on the second Tuesday of every 3rd or 4th meeting month, and secure a site for a breakfast board meeting.

3.  Provide a list of confirmed and tentative meeting sites for the Board of Directors at the September meeting.

4.  Coordinate Board-approved joint meetings with the organizations' representatives.

5.  Coordinate with the Education and Charity Chairmen any activities that would require special setup.

6.  Work closely with the HENA office to ensure that meeting notices are correct and are distributed in ample time.

7.  Provide the President with Board and General meeting site contacts and meeting/venue information for use in the President's Message.

8.  Ensure that the HENA membership enjoys the best of food and service at below street prices inclusive of cash items.

9.  Ensure that the site has ample safe parking nearby or that security is hired if necessary.

10.  Provide a monthly report/update to the Board of Directors.


WEBSITE CHAIRMAN 

Duties:

1.  Select a committee to assist you.

2.  Work with the HENA office to establish website ad rates.

3.  Designate committee member(s) to actively sell advertising for the website.  Said committee member(s) will work closely with the HENA office to ensure proper billing, payment, and production of all ads, and monitor financials.

4.  Work closely with the HENA office to ensure all advertisements for the monthly update of the website are received by the 20th day of the prior month.

5.  Coordinate photography where necessary with the Publicity Chairman for insertion in the website, mainly in the September issue (relating to the convention).

6.  Proof and edit roster and monthly website update for accuracy and content.

7.  Provide monthly reports, including P&L, to the HENA Board of Directors.
